Terms of Purchase

Welcome to PolarPosh. This Purchasing Agreement sets out the terms that apply whenever you place an order through our online store.

These purchase conditions form part of the legal relationship between you and PolarPosh and should be read together with our Terms of Use, Privacy Policy, Shipping Policy, Return Policy, and any other policies made available on our Site.

By submitting an order or completing payment, you confirm that you have reviewed and accepted the terms below.

3. Order Review, Acceptance and Cancellation

Submitting an order does not automatically guarantee that it will be accepted or fulfilled.

PolarPosh reserves the right to review, place on hold, reject, or cancel an order when reasonably necessary, including situations involving:

  • Suspected fraudulent or unauthorized payments

  • Payment verification issues

  • Incorrect pricing

  • Technical or system errors

  • Incomplete customer information

  • Other fulfillment or security concerns

We may also request additional identity or payment verification before an order is dispatched.

If PolarPosh cancels an order after payment has already been collected, the applicable amount will be returned to the original payment method.

We may also update product pricing, specifications, availability, or promotional offers at any time before an order is accepted.

4. Product Images and Descriptions

We make reasonable efforts to present our products accurately through photographs, specifications, descriptions, dimensions, and other information displayed on the Site.

However, slight differences may occur because of:

  • Screen or device display settings

  • Lighting used in product photography

  • Manufacturing tolerances

  • Minor variations between production batches

  • Measurement methods

For these reasons, we cannot guarantee that every color, dimension, finish, or visual detail displayed digitally will appear completely identical in person.

If a product you receive is materially different from the description provided at the time of purchase, please follow our applicable Return Policy or contact customer support.

Where expedited or express checkout options are available, customers are still encouraged to review the full product description before completing an order.

5. Pricing Errors

Although we make reasonable efforts to ensure that prices displayed on PolarPosh are accurate, occasional technical, typographical, or system-related errors may occur.

If an item is purchased at a price that was displayed incorrectly because of an obvious error, PolarPosh is not required to fulfill the order at that incorrect price where permitted by law.

In such circumstances, we may:

  • Stop the order before shipment

  • Inform you of the pricing issue

  • Cancel the affected transaction

  • Refund any amount already paid

We reserve the right to correct inaccurate pricing or product information on the Site at any time.

6. Product Availability and Fulfillment Estimates

Product availability displayed on our Site represents our current expected inventory status and should not be interpreted as an absolute guarantee.

Although we aim to process and dispatch orders efficiently, international delivery may require up to 30 days after payment has been successfully cleared.

Delivery may be affected by circumstances including:

  • Carrier delays

  • Severe weather

  • Customs processing

  • Transportation interruptions

  • Peak-season demand

  • Supply-chain disruptions

An item displayed as “in stock” may occasionally become unavailable before fulfillment is completed.

If this occurs, we will notify you and may cancel the unavailable item and adjust or refund the corresponding amount paid.

7. International Purchases

Customers ordering products for delivery outside the fulfillment country acknowledge that product standards and support conditions may differ between markets.

Depending on the destination:

  • Certain warranties or services may not be available locally.

  • Region-specific customer support programs may differ.

  • Instructions, packaging information, or safety notices may be provided primarily in English.

  • Product labeling may differ from locally manufactured goods.

It is the customer's responsibility to determine whether the products purchased through PolarPosh may be lawfully imported, possessed, and used in the destination country or region.

8. Customs Duties, VAT and Import Charges

International orders may be subject to additional charges imposed by customs agencies, tax authorities, or other government bodies in the destination country.

Even where certain taxes are collected during checkout, additional charges may still be assessed after the shipment reaches your country.

Unless otherwise expressly stated at checkout, the customer is responsible for any applicable:

  • Import duties

  • Customs charges

  • Value-Added Tax (VAT)

  • Brokerage or clearance fees

  • Local taxes or government assessments

These charges are determined by local authorities and are outside PolarPosh's control.

9. Governing Law and Business Information

This Purchasing Agreement, together with transactions completed through the PolarPosh online store, shall be governed by and interpreted in accordance with the laws of the Hong Kong Special Administrative Region, subject to any mandatory consumer rights that cannot legally be excluded.
